Donation & Trade Guidelines
At The Dunk Tank Company, we are proud to support schools, nonprofits, churches, community groups, and local organizations when we can. We receive many requests throughout the year for donations, discounted services, sponsorship support, and trade partnerships. To keep things fair, consistent, and transparent, we follow the guidelines below for all donation and trade-related requests.
These guidelines are intended to explain how donation and trade arrangements are handled. Because we receive a high volume of requests and have a limited number of donations we are able to offer each year, not every request can be approved.
General Policy
All donation and trade opportunities are reviewed on a case-by-case basis. Approval is never automatic, and availability may vary based on timing, staffing, inventory, event type, location, and overall business capacity.
The Dunk Tank Company reserves the right to approve or decline any donation or trade request at its sole discretion.
Donation vs. Trade
A donation is when The Dunk Tank Company provides a product, service, credit, or other support without requiring an equivalent exchange of promotional or business value in return.
A trade is when products or services are exchanged for agreed-upon value from the requesting organization, such as advertising, sponsorship recognition, booth space, event visibility, promotional mentions, marketing opportunities, or other benefits, but not limited to those examples.
Full Value Trade Policy
All trades are valued at full retail price.
No discounts, coupons, package adjustments, promotional pricing, or other offers will reduce the value of the products or services being traded. Trade value is always based on standard posted retail pricing at the time of the agreement.
This policy helps ensure consistency and fairness across all organizations and events.
Availability and Limitations
Donation and trade support is limited and subject to availability.
Not all units or dates are available.
Peak dates and premium inventory may be excluded from donation and trade consideration. This includes, but is not limited to, holidays, holiday weekends, graduation season, school breaks, and other high-demand periods.
Because we have a limited number of donations we are able to offer each year, support may be restricted even when a request is otherwise a good fit.
Organizations may be limited to one donation or trade request per calendar year.
Prior support does not guarantee future approval.
Additional Charges
Even when a donation or trade is approved, some costs may still apply unless specifically waived in writing.
These may include, but are not limited to:

delivery fees

staffing charges
-
cleaning fees
-
fuel charges
-
generator use
-
add-ons
-
consumable goods
Staff and consumable goods are not donated and are always additional charges unless clearly stated otherwise in writing.
Rental Time and Additional Day Charges
Donation and trade rentals follow the same general operational structure as standard rentals unless otherwise agreed in writing.
If rental time exceeds 20 hours, the next-day rate will apply based on the units being rented.
Setup and pickup timing is based on route availability, staffing, venue access, and operational scheduling. Exact timing may not always be guaranteed unless specifically agreed to in writing.
Delays caused by venue access issues, late exits, customer delays, or other event-related timing problems may result in additional charges.
Standard Rental Rules Still Apply
Unless specifically waived in writing, all normal rental policies, safety requirements, and operating expectations still apply to donation and trade arrangements.
This includes, but is not limited to:
Any damage, loss, misuse, excessive cleaning, or policy violations may be billed at standard rates.
Deposits, Agreements, and Payment Protections
Depending on the type of rental, event, venue, or equipment involved, The Dunk Tank Company may require additional protections before confirming a donation or trade arrangement.
These may include, but are not limited to:

a signed rental agreement

a card on file
-
a refundable deposit
-
proof of insurance
-
venue-specific documentation
-
event coordination requirements
These protections may be required even when rental value is donated or exchanged through trade.
Staffed Services and Consumables
If an event requires staff support, attendants, operators, delivery crew beyond standard service, or consumable products, those items are billed separately unless specifically waived in writing.

These items are not automatically included in any donation or trade approval.
Cancellation and Rescheduling
If a donation or trade arrangement is approved and the event is later canceled, the support does not automatically transfer to a new date.
We do our best to accommodate rescheduling whenever possible, but all rescheduled support is subject to availability, staffing, inventory, and scheduling capacity.
In some cases, a canceled or rescheduled event may require a new review.
Accounting and Documentation
For recordkeeping purposes, donation and trade arrangements may be documented at full retail value.
Invoices, receipts, internal records, or event documentation may reflect the full standard value of the products and services involved, even if the final balance is adjusted due to donation or trade terms.
Each party is responsible for its own bookkeeping, reporting, tax handling, and internal documentation.
Right to Modify or Decline
The Dunk Tank Company may limit, modify, or decline donation and trade opportunities at any time based on business needs, staffing, seasonal demand, equipment availability, risk, location, event type, prior experiences, or other considerations.
These guidelines are provided so organizations understand how these opportunities are handled and so that all requests are treated as consistently and fairly as possible.
Final Note
We truly value opportunities to partner with our community and support meaningful events when we can. At the same time, we must balance those opportunities with equipment availability, staffing, scheduling, and the limited number of donations we are able to provide each year.
Our goal is to be transparent about how donation and trade arrangements work so expectations are clear from the beginning.
